Overview
Havenex is building a structured governance platform for cross-border residential assets owned by internationally based clients, diaspora families, and globally active principals, as well as for executive mobility support.
We are seeking a disciplined operations coordinator to execute mobility support, vendor oversight, documentation, site verification, inspections, and structured reporting.
This is not a traditional property management role. It requires rigorous documentation and disciplined escalation.
This role requires procedural discipline and comfort operating within defined governance frameworks.
Improvisational operators will not thrive in this structure.
Responsibilities
• Coordinate with on-ground vendors
• Conduct property visit documentation
• Log incidents in a structured format
• Monitor maintenance approvals
• Submit weekly summary reports
• Escalate material issues within defined thresholds
Requirements
- 1+ years of experience in property, facilities, or operations environments
- Experience operating within structured reporting environments is strongly preferred (real estate firms, facilities management companies, or multinational environments)
- Strong written English
- Close attention to detail
- Documentation discipline
- Comfort with structured reporting tools (Google Docs, Sheets, Forms, or Similar)
- High personal integrity and reliability

Contract Structure
30-day Operational Trial
Successful performance during the pilot phase may lead to a longer-term engagement with expanded responsibilities.
Compensation (Foundational Phase)
This is a structured, part-time pilot role (estimated 15–20 hours/week).
Monthly Retainer:
$450–$600 USD equivalent (based on experience and availability)
Rationale: This role entails on-the-ground accountability, vendor coordination risk, and documentation responsibilities.
Performance-based continuation and scope expansion are possible after the Day 30 review.

- Organize Google Drive/Notion/reporting folders
- Track KPI sheets and contractor reporting records

- Ensure file naming, storage, and reporting systems remain orderly and current
Requirements

- Strong Google Sheets proficiency, and strong comfort with Google Docs, Drive, and structured document workflows
